Convert a Word document into a DTBook
Make sure you have installed the “Save As Daisy Add-in” latest version for Microsoft Word. This add-in is also available for Open Office which is discussed in a separate article. If you are using Microsoft Word XP or Microsoft Word 2003, you will also need to install File Format Converter which will allow you to work with Microsoft Word 2007 version documents. The instructions given below apply to Microsoft Office 2007 and 2010. Using the steps listed below, you can create a DAISY XML file (DTBook) from a Microsoft Word document.
Step 1: Define the structure of the document – headings, sub-headings etc.
The headings in the document, names of chapters & sub-sections need to be marked up using the built in heading styles. Similarly, tables, footnotes etc need to be cross checked. Ensure that document is saved before proceeding with the translation.
Step 2: Validate the document
It is advised that you validate your document so that it conforms to the DAISY standards and the process of conversion to DAISY XML does not fail.
2.1. Click on “Accessibility” tab or press (Alt + Y).
2.2. Click on “Validate” button or press (Alt +Y) +V. A progress bar will show the progress of validation.
While validating, if the input document contains some validation error then a Message Box appears indicating that the document contains validation errors.
While validating, if the input document does not contain validation error then a Message Box appears indicating that the document is valid.
p> 2.3. If the validation fails, the list of errors are shown in a dialog box. You can click on an error to locate the error in the document. You can also click on "More Info" to open the Help Manual for more assistance.
Step 3: Save the document in DAISY XML format
3.1. Click on ACCESSIBILITY in the ribbon in Microsoft Word. Then, click on “Save as DAISY button”
. This will open the Save As DAISY submenu. Select "DAISY XML(from single docx)".
3.2. If the document is a master sub document (current document having sub documents), the following dialog box will be displayed.
On clicking the "Yes" button, an initialization mesage is displayed as shown below.
The translation process will continue and the current document is translated.
3.3. Now the DAISY Translator Form is presented as shown below.
Translator form contains fields such as Destination, Document Title, Document creator, Document Publisher, Document UID; all these fields will be auto populated from the document properties, modify or change these values if required and then click on "Translate" button or just hit Alt+T buttons on the keyboard.
3.4. On click of "Translate" button, Progress bar will show the progress of the translation as shown below.
3.5. After successful translation a success message is shown. Click on OK or press ENTER.
If the translation is successful and if there were some fidelity losses, Fidelity loss dialog box will be shown.
If there were errors in the Translation process, The DAISY Translator Validation errors message is shown.
"Daisy translator – Validation error" window provides an option to open the Authoring Guidelines and also an option to save the messages to a log file.
